The Situation
An Arizona-based Title Company was having their Title Files put on microfiche. They had only one person and a back up in charge of the microfiche for filing and receiving requests for a file. If those two people were not available right away, the response to a request for a file was often quite slow. Also, the microfiche reader printer was a very old model (1970’s) and the quality of the paper prints were often quite poor. Manual re-filing also left the possibility of a misfiled microfiche.
The Solution
Scan each Title File to a read-only PDF format. Use the file number as the filename for each file. Put each type of Title File on a separate CD-ROM and label with the inclusive Title file numbers. The images on each CD-ROM will be copied into folders by type of Title on a network server for access by anyone in the company needing this information. The CD-ROM will then serve as an off-line disaster recovery backup. The paper files will be confidentially shredded and recycled upon written authorization with the Title Company receiving a Certificate of Destruction at the completion of the process.
