Airline Case Study
The Situation
A major airline was struggling with an outdated document-based system for handling their maintenance library. Document retrieval had become too cumbersome, maintaining a database for locating documents was costing too many IT man hours, and yet the documentation represented a crucial aspect of the airline’s day-today operations. The goal was to replace the system with a web-based solution that could be easily accessed by authorized personnel and easily maintained to alleviate the demands on IT.
The Solution
OptiScan applied its eVista document management software and began scanning archived files into the system.
In the process of implementing the solution, the airline merged with another major airline. During the merger, the eVista solution was analyzed by the change management and determined to be not only effective and on target for the original project scope, but also the perfect solution for combining the records of the two joined companies.
The Benefits
- eVista provided an easy-to-use solution, requiring little to no training to get users up to speed
- OptiScan’s scanning services allows for quick conversion to the new system without taxing internal resources
- Much of the maintenance, additions to search criteria, user account administration, and many other functions in eVista can be performed in minutes by users with the proper access, alleviating demands on the IT department
- eVista scaled easily for expansion during the merger
- Documents can be retrieved within seconds for use or audit
- Storage space was saved by converting to digital files rather than hard copy
- Decreased man hours are spent maintaining and retrieving documents
