Education Case Study
The Situation:
An International Educational Institution had all their student records on microfiche. It was an extremely slow process to produce a requested record. The microfiche cards were supposed to be filed alphabetically, but on many occasions were not immediately found because they had not been properly re-filed after use. To make a copy of a record meant going to the school library in another building to use their microfiche reader printer. Many times the paper copies from the microfiche had to be re-printed either because of the printer or the microfilm. Then after printing a Student Record the microfiche had to be filed again. The entire process was labor intensive from initially finding the fiche to having to re-file it and the print quality was often unsatisfactory due to the analog reader printer.
The Solution:
Scan each Student Record to digital file in a database with search capability based on Last Name and the Term Period that the Student started class. Output the files and database in alphabetical sequence by last name on CD-ROM’s with software providing search capability. A back up set of CD’s was also created for disaster recovery.
The Benefits:
- Minimal time to access and print a Student Record
- High quality prints using a network laser printer
- Trips to the library building no longer required
- No more re-filing of a Student Record
- Lost or misplaced Student Records eliminated
- Disaster Recovery back up of all Student Records on CD-ROM
- Reduced storage space for CD’s versus microfiche
- No need to purchase additional microfiche file cabinets
